Official Apostille in Spain for any kind of documents

Apostilla de La Haya is not just a simple “stamping” process. It is a legal procedure consisting of several stages, and each of them is important: from checking the document to obtaining a properly executed apostille that will be accepted by Spanish government agencies, migration, notary public, courts and banks.
We accompany the client completely – from the first request to the finished document.

1. Verification of the document and determination of the authority that should place the apostille

Each type of document is apostilled at a different institution:

• the notary’s papers to Colegio Notarial,

• court papers – at the Ministry of Justice,

• official state documents – in autonomous governments,

• foreign documents – in the authorities of the country of issue.

We analyze your document, verify that it complies with the requirements of the Hague Convention, and determine the exact filing authority. This eliminates frequent mistakes when people try to apostilize a document “in the wrong place” and get rejected.

2. Preparing a document for apostille: checking stamps, signatures, format and relevance

The document must be properly executed before it can be apostilled.
We’re checking:

• availability of original signature and seal,

• the name and position of the signatory,

• format conformity,

• date of issue (some documents are valid for a limited time),

• the need for prior notarization.

If the document requires additional notary certification – we will organize this procedure so that the apostille will be accepted without comments.

3. Preparation of applications, forms and records for filing

Depending on the filing authority, the process may require:

• filling out forms,

• providing copies of documents,

• cita previa,

• payment of dues,

• of the applicant’s identity.

We take care of this: we prepare all the forms, fill out the applications, organize the appointment and put the whole package together so that it is accepted the first time.

4. Filing the document with the correct Spanish authority and accompanying the client

We personally accompany the client or file the paperwork for them (if authorized):

• explaining the pitch to the staff,

• provide a set of documents,

• controlling the correctness of acceptance,

• We’re checking on a timeline,

• make sure there are no additional requirements from the agency.

5. Control of document processing, receipt of apostille and verification of correctness of execution

When the apostille is ready, we:

• picking up the document on time,

• check that the apostille form is correct,

• verify data, stamps and signatures,

• make sure that the apostille complies with the international format
  (errors in the apostille are a frequent reason for refusal of migration and notaries).

Only after verification is the document ready for use.
